San Antonio, Texas

We're Half an Hour Up 281, and We Actually Come Down.

San Antonio is the largest market we work in directly — not remotely, not through a portal and a phone number with an area code from somewhere else. Our clients here are commercial contractors, trades and field service operations, and medical and dental practices, and a good number of them we've sat across a table from.

You can't get a number when you need it

Not because it's wrong. Because nobody can produce it on the day you ask, and the decision gets made without it.

The books outgrew whoever is keeping them

What a business needs at six employees isn't what it needs at twenty-five. That's growth, not a failing — but the gap widens.

More entities than the setup can hold

An operating company, an equipment company, maybe real estate. Money moves between them and the intercompany balance has never netted to zero.

Bookkeeping that's merely correct isn't the same as a back office that works.

Bulverde Business Solutions is a bookkeeping and financial operations firm. Not a CPA firm — we work alongside yours.

Who We Work With in San Antonio

Depth in a Few Industries, Not a Claim of All of Them

These are the businesses that make up most of our San Antonio client base — and the specifics below are why they came to us rather than to a general bookkeeper.

Commercial Construction

Job costing by job and phase, WIP schedules and percentage-of-completion, retainage tracked as its own balance, AIA billing and schedule of values, certified payroll on public work, and the bonding packages somebody fills out at night. See construction.

Trades & Field Services

HVAC, plumbing, electrical, pool, pest, and route-based work across a very large service area. Service and install margins kept separate, material tracked to the ticket, field software reconciled to the ledger. See trades.

Medical & Dental Practices

Multi-provider practices and groups, including around the Medical Center. Payer reconciliation, provider-level profitability, and the multi-entity structures practices accumulate. See practices.

Multi-Entity Owners

Two, three, or four entities under one owner. Intercompany that has to net to zero, management fees and related-party rent recorded on both sides, consolidated reporting that still separates cleanly.

Something we do that most bookkeeping firms don't: we handle general liability and workers' compensation premium audits — assembling the records, tracking subcontractor certificates of insurance through the year, and answering the auditor. Every year since 2021, several a year. See insurance audit support.

The San Antonio Difference

What Being Actually Local Is Worth

We'll be honest about this, because plenty of firms overclaim it: most of bookkeeping doesn't require proximity. Here's the part that genuinely does.

We can be on the jobsite

When a conversation is better had standing in front of the thing being discussed — a job that's bleeding, a filing cabinet that needs handing over, a trailer full of receipts — we drive down. A national service cannot do that at any price.

We know the market

Who the general contractors are, how the bidding season runs, which payers are slow, what a Bexar County permit timeline actually does to a schedule. That's context you don't have to explain to us.

Onboarding in person, if that helps

Taking over a back office usually means somebody handing over years of records and, often, a conversation with the person who's been keeping them. That goes better across a table than over a screen share.

What being local doesn't change: you'd get the same weekly coding, the same monthly close, the same named team and same-business-day response wherever you were. Almost nobody leaves their bookkeeper over the drive — they leave because they asked a question and waited four days. Proximity is a bonus. Responsiveness is the thing.

How It Works

Three Steps, and We'll Tell You Honestly at Each One

Including whether we're the right fit. If a full back office is more than you need, we'd rather scope you into the right service and keep you for a decade.

01

A strategy call

No cost, no pressure

We ask what's actually going on rather than walking you through a package menu. Then we scope against real transaction volume, entity count, payroll complexity, and the condition of the current books — and quote a flat monthly price before anything starts.

If we're not the right answer, we'll say so on the call.

02

Onboarding, and an honest diagnostic

Weeks one through four

Every account reconciled to a real statement, the balance sheet reviewed line by line, intercompany traced. You get a written list of what we found, including anything you won't enjoy reading.

Where cleanup is needed it's quoted separately, as one-time work with a defined end. Folding it into a monthly fee charges you for it forever.

03

The operating rhythm

Ongoing

Weekly coding and allocation, monthly reconciliation and close, payroll and filings on schedule, AP paid on terms and AR followed up before a customer stops answering. Controller-level review over all of it.

Then a monthly reporting package and a conversation about it with somebody who read it before the call. See your back office.

Straight Answers

San Antonio Bookkeeping — Answered

Are you actually in San Antonio?

We're in Bulverde, about half an hour north up 281, and San Antonio is the largest market we serve directly. That means we can be on site when there's a reason to be — onboarding, a jobsite walk, or a conversation that's better had in person.

We're specific about that rather than claiming a San Antonio office we don't have.

What does it cost?

One flat monthly price, quoted after we've looked at transaction volume, entity count, payroll complexity, and the condition of the current books. No hourly billing, and calls and questions aren't metered.

A number quoted before that would be a guess, and guesses get revised upward once reality shows up.

What software do you work in?

QuickBooks Online is where the ledger lives — we're Intuit ProAdvisor Elite, the highest tier. We integrate what you already run in the field or at the front desk: Knowify (we're a Certified Advisor), Service Pro, practice management systems, point of sale.

You don't have to change field software to work with us. What matters is that it ties to the books.

Are you a CPA firm?

No — we are not a CPA firm. Bulverde Business Solutions is a bookkeeping and financial operations firm. We don't prepare tax returns, render tax opinions, or perform audit, review, attest, or assurance work.

We work alongside your CPA and hand them closed, reconciled, reviewed books at year end, which usually reduces what they charge for cleanup.

Do you work with San Antonio construction companies?

Commercial construction is one of the largest parts of our client base. Job costing by job and phase, WIP and percentage-of-completion, retainage, AIA billing, certified payroll on prevailing-wage work, and bonding and prequalification packages.

We also handle general liability and workers' compensation premium audits, which most bookkeeping firms don't. See insurance audit support.

Can you handle multiple entities?

Yes, and it's a common reason owners come to us. Intercompany balances that have to net to zero, management fees and related-party rent recorded on both sides, and consolidated reporting that still separates the entities cleanly.

Unreconciled intercompany activity is the single most frequent mess we inherit from previous bookkeepers.

Our books are months or years behind. Is that a problem?

Common, and not disqualifying. It affects sequencing: cleanup comes first, quoted separately as one-time work with a defined end. See cleanup bookkeeping.

We'd rather tell you in week two that eighteen months need rework than hand you a confident-looking report built on numbers we don't trust.

How do documents get to you?

Through Canopy — a SOC 2–compliant client portal with encrypted file transfer. No documents move over email, which is a rule rather than a preference. The SOC 2 attestation belongs to Canopy as the platform provider; we are not ourselves SOC 2 audited.

We carry Professional Liability (E&O), Cyber Liability, and General Liability insurance.

How fast do you respond?

Same business day in almost every case, and always within 24 hours. You'll have a named person who knows your books, not a ticket queue.

Do you serve the rest of the Hill Country?

Yes — Bulverde, New Braunfels, Boerne, Spring Branch, Canyon Lake, and the communities between them, plus Texas metros and nationwide remotely. See where we work.
