Bookkeeping Built for Decisions, Not Just Tax Season.

Transactions coded and job costs allocated every week - reconciled and closed every month - with the reporting that tells you what's actually happening.

Why This Matters

Clean Books Aren't the Goal. They're the Starting Line.

Plenty of bookkeepers will categorize your transactions and hand you a P&L. That's the minimum. It tells you what already happened, in a format built for your tax return rather than your decisions.

What you actually need is to know where the business stands right now — which jobs made money, what's coming due, whether you can afford the hire, and whether the number in the bank means what you think it means.

That's the difference in how we work. The reconciliations and categorization are table stakes, done right and done on schedule. The value is in what they let you see.

  • Books are weeks or months behind
  • Reports arrive too late to act on
  • No idea which jobs or services are profitable
  • Expenses categorized inconsistently
  • Bank balance and P&L tell different stories
  • Your bookkeeper takes days to respond
  • Year-end is a scramble for your CPA
  • The business has outgrown a shoebox and a spreadsheet

How We Work

We Touch Your Books Weekly. Most Bookkeepers Touch Them Monthly.

Reconciliation happens at month-end — it has to, since that's when statements close. But transaction entry, coding, and job allocation happen every week. That's the difference between a file that reflects your business and one that reflects last month's.

Every Week

Transactions Entered and Allocated

Activity coded as it happens, costs allocated to the right job, class, or location, and receipts matched while anyone still remembers what they were for. Your file is never sitting untouched waiting for the month to end.

You can ask what a job has cost so far and get a current answer — not a month-old one.
Every Month

Reconciled, Reviewed, and Closed

Once statements are available, every bank, credit card, and loan account is reconciled, adjusting entries are made, the balance sheet is reviewed, and the period is formally closed. Statements follow days later, not weeks.

Closing books that were coded weekly is a review, not a reconstruction.
Why It Matters

Problems Surface While They're Small

A miscoded job cost, a duplicate payment, a customer quietly stretched to 70 days, a margin sliding on active work — caught within days instead of compounding for a full month before anyone looks.

Finding something late almost always costs more than looking sooner.

This is also why we can answer questions quickly. When you ask what a job has cost or where cash lands next week, we're not opening a file nobody has looked at since the last close — we've been in it days ago.

Financial Visibility

Reports Built to Be Read, Not Filed

A P&L that only makes sense to your accountant isn't doing its job. Here's what you actually get every period.

P&L and Balance Sheet

Both, every period — with the balance sheet actually reviewed, which is where most books quietly go wrong.

Comparative Reporting

This month against last month and the same month last year, so a trend is visible before it becomes a problem.

Job & Service Profitability

Which projects, service lines, or locations actually make money — not just what the business made overall.

Dashboards & KPIs

The handful of numbers that matter to your business, in one view, through Reach Reporting.

Need forecasting, WIP schedules, or someone to sit down and work through the numbers with you? That's our reporting and advisory work.

The BBS Difference

Sophisticated Enough to Handle Complexity. Human Enough to Answer the Phone.

The most common reason clients leave their previous bookkeeper isn't bad work. It's not being able to get a straight answer when they need one.

Real People, Real Answers

You get a named contact who knows your business, your industry, and your history with us. Not a shared inbox and not whoever happens to pick up.

Answers in Hours

Questions get answered the same business day in most cases, and always within 24 hours. If we need time to dig into something, we tell you that instead of going quiet.

We Flag Problems

If we spot something in your numbers that looks wrong — a margin slipping, a cost climbing, a customer stretching out — you hear it from us. We don't wait to be asked.

Built to Scale With You

Adding crews, locations, or entities shouldn't mean starting over. We build the structure to hold what's coming, not just what's here now.

Systems

Certified in the Software Your Business Actually Runs On

Credentials that mean something, in the platforms where the work happens.

Certification

QuickBooks Online — ProAdvisor Elite

Our team holds Intuit's top ProAdvisor tier. We work in QuickBooks Online every day — setup, cleanup, chart of accounts design, class and job tracking, and getting the file to do what the software was built to do.

Certification

Knowify — Certified Advisor

For construction and trades, we're a Knowify Certified Advisor — job costing, progress billing, change orders, and WIP handled in software built for contract work rather than forced into a general ledger.

If your current system works, we'll run it. We're not interested in migrating you for the sake of it. But if the file is fighting you — a chart of accounts nobody can read, job costing that was never set up, three years of history that doesn't tie — we'll say so plainly and tell you what it would take to fix.

Who We Do This For

Bookkeeping That Understands Your Industry

The chart of accounts, the cost tracking, and the reports that matter change completely depending on what you do.

We also keep books for restaurants and hospitality, real estate and property management, and professional services firms. See all industries we serve.

Better Together

Bookkeeping Is the Foundation. Most Clients Add One Thing.

Payroll, payables, receivables, and reporting all feed the same general ledger. When one team handles the books and the thing that's causing you the most pain, coding is right at the source and nothing falls between two providers.

Where We Work

Bookkeeping Services Across Texas — and Nationwide

We keep books for businesses in San Antonio, Bulverde, Spring Branch, Boerne, and New Braunfels, plus Austin, Dallas–Fort Worth, and Houston. Outside Texas, we work remotely through secure cloud systems and our encrypted client portal.

Common Questions

Bookkeeping Services — Answered

What business owners ask before handing over their books.

How often do you actually work on our books?

Weekly for transaction entry, coding, and job cost allocation. Monthly for reconciliation and close, since bank and credit card statements aren't available until the period ends. Most bookkeepers do all of it once a month, which means that for three weeks out of four the file doesn't reflect what's happening in your business. Working it weekly is why we can give you a current answer on any given day.

Are you a CPA firm? Can you do our taxes?

No. BBS provides bookkeeping and financial operations services — not CPA, tax, or attest services. We're not a CPA firm and we don't prepare tax returns. What we do is keep your books accurate and organized year-round so your CPA can work efficiently at year end, and we coordinate with them directly so you're not the middleman.

Will you work with our existing CPA?

Yes, and we prefer it. We assemble a year-end package built for how CPAs actually work — tied-out balances, supporting schedules, fixed asset detail, and 1099 records — then answer their questions directly. Most CPAs are relieved to get books they don't have to rebuild first.

Our books are behind. Do we need cleanup first?

Usually, yes — and that's normal. There's no point running forward on top of a foundation that doesn't tie out. We scope the cleanup separately so you know what it costs before we start, then move you onto ongoing bookkeeping once the history is solid. See our catch-up and cleanup service.

Do we have to switch to QuickBooks?

No. We hold Intuit ProAdvisor Elite certification and work in QuickBooks Online daily, so that's where we're fastest — but if your current system works, we'd rather run it than put you through a migration you didn't ask for. If the system genuinely is the problem, we'll tell you that plainly and explain what changing would involve.

Can you handle job costing and WIP for construction?

Yes. Job costing, committed costs, retainage, progress billing, and work-in-progress schedules are routine for us — construction and trades are among our largest client groups. We're also a Knowify Certified Advisor, so contract-based work can live in software designed for it. See our construction services.

How do you keep our financial data secure?

Documents move through Canopy, a SOC 2-compliant client portal with encrypted transfer — nothing sensitive travels by email. We also carry General Liability, Professional Liability (E&O), and Cyber Liability insurance, which most solo bookkeepers do not. Download our vetting checklist and ask any provider the same questions.

What does bookkeeping cost?

It's a flat monthly price, quoted after we look at your actual transaction volume, number of accounts, and complexity. We don't bill by the hour and we don't meter phone calls. Anyone who quotes you a number before looking at your books is guessing, and that guess usually gets revised later.

Can you take over mid-year?

Yes, and most transitions happen mid-year. We tie out the opening balances as of the handoff date, review what came before rather than assuming it's right, and flag anything that needs correcting before we run forward. You don't have to wait for January.

Do you work with businesses outside Texas?

Yes. We're based in Bulverde and serve San Antonio, Austin, Dallas–Fort Worth, and Houston, but we support clients remotely nationwide through secure cloud systems and our encrypted portal. Location isn't a barrier — responsiveness is what matters, and that doesn't depend on distance.

Bookkeeping Is the Core of Our Full-Service Package

If you'd rather not manage the pieces, the Full-Service package puts bookkeeping, payroll, AP/AR, and reporting under one team at one flat monthly price. Most clients start here and move up when coordinating providers stops being worth their time.
