Everything above that is scoped to the actual business, because a contractor running four crews and a single-owner practice with one bank account are not the same job and shouldn't cost the same.
What we can tell you plainly is the floor, the five things that move the number, and exactly where a charge can come from. Nothing on your invoice will be something you hadn't already agreed to. And we don't guess at your price — we review your books first, at no cost, then quote. If the number ends up wrong for where you are, we'll say so then rather than sell you something that doesn't fit.

The Five Things That Move the Price
None of these are guesswork — we check all five in the free review before quoting, and you'll hear which ones are driving your number.
Transaction volume and accounts
Under 100 a month across two accounts is where the $250 floor sits. Six hundred across four cards, a line of credit and two merchant processors is a different job entirely. This is usually the biggest single factor in your number.
Payroll headcount and frequency
How many people, how often they're paid, and whether there are contractors, multiple pay rates, certified payroll, or job-level labor allocation involved.
Number of entities
Each entity is its own set of books, its own reconciliation, and intercompany accounts that have to tie every month. Two entities isn't twice the work, but it isn't the same work either.
The condition of the books today
Current and clean, or nine months behind with a prior bookkeeper's decisions you can't verify. This affects the cleanup quote rather than the monthly price — but it's the question we ask first.
How much we actually run
Recording what happened is one scope. Paying the bills, chasing the receivables, running payroll and sitting in on the numbers every month is another. You decide where the line goes.
What doesn't move it
Questions about the work we're already doing for you. How many times you call about it. Your CPA needing something in March. Those are part of the service, not line items — metering them would make you stop asking, which is the opposite of what we want.

Your monthly price
Flat, agreed in writing before we start, covering everything in your scope. We don't bill hourly for scoped work, so a hard month for us isn't a bigger bill for you.
Setup and onboarding
A one-time charge for getting your file in order, connecting feeds and building your process. Quoted before you sign, never after.
Catch-up and cleanup
If your history needs work, we do a diagnostic review and quote a fixed price. It never appears later as an overage on a monthly invoice.
Work outside your scope
Ask us for something your scope doesn't cover and we'll tell you what it costs before we do it — hourly, or quoted flat if it's big enough to warrant it. You approve it first. We don't do the work and invoice you afterward.
What an In-House Bookkeeper Actually Costs
The fair comparison isn't $250 a month against a salary — it's the full back office against a hire. Here's what that side really adds up to.
Salary figures are current market ranges for San Antonio from public salary data and vary by experience and scope — treat them as a range, not a quote. And to be straight with you: an in-house bookkeeper isn't always the wrong answer. Past a certain size and complexity, having someone in the building full time is the right call, and we'll tell you when you're there.

How do you land on my number?
We review your books first, and that review is free. We look at what's actually in the file — transaction volume, how many accounts, payroll, entities, and what condition the history is in — and then quote from what we found rather than from what you estimated on a call. It also means that if there's cleanup needed, you find out before you've signed anything, not after. You get a real number and you're under no obligation to take it.
Is $250 a real price or a teaser?
It's real, and it's a floor rather than an average. Concretely: under 100 transactions a month with two accounts to reconcile. You can check that against your own bank feed right now. Past either line — more volume, more accounts, payroll, a second entity — the number moves, which is why we publish the five things that move it instead of a menu that wouldn't apply to you.
Why won't you publish a price for full service?
Because it would be fiction. Full back office replaces a function — bookkeeping, payroll, AP/AR, reporting and controller oversight — and the scope genuinely differs by an order of magnitude between businesses. A published number would either be so high it scares off the right fit or so low we'd have to walk it back, and walking back a number is a bad way to start.
Do you bill hourly for anything?
Yes — for work outside your agreed scope. Everything inside it is covered by the flat monthly price, and cleanup is a fixed price quoted up front. If you ask for something the scope doesn't cover, we tell you what it costs and you approve it before we start. What we don't do is meter questions about work we're already doing for you; a bookkeeper you're reluctant to call is worth less than one you'll actually use.
What does cleanup cost?
It depends on how far back it goes and what shape the file is in, so we do a diagnostic review first and then quote a fixed price before any work starts. You'll know the number before you commit, and it won't change partway through. More on cleanup →
What counts as out of scope?
Anything your written scope doesn't list. Common examples: reconstructing a prior year nobody mentioned, building a report you've never had before, untangling an entity we weren't told about, or a project like a system migration. None of it is a trap — you'll get the cost before the work, not on the invoice after it.
Is there a setup fee?
Yes, one time. Getting your file right at the start — chart of accounts, opening balances, feeds connected, the process built around how your business actually runs — is real work, and doing it properly is what makes every month after it cheap. You'll see that number alongside your monthly price before you commit to either.
Do you charge more if I'm in San Antonio instead of Bulverde?
No. Pricing is the same whether you're down the road in Spring Branch, over in New Braunfels or Boerne, in San Antonio, or working with us remotely from elsewhere in Texas. The work is priced on your books, not your zip code. Being based in Bulverde does mean an in-person meeting is realistic for Hill Country and greater San Antonio clients — that's a convenience, not a surcharge.
What happens if my business grows?
We talk about it before anything changes on an invoice. If volume or headcount has grown enough to move the scope, you'll hear it from us in a conversation, not discover it on a bill. Prices going up quietly is one of the things owners tell us they hated about a previous provider.
