Bookkeeping & Payroll for Houston Small Businesses
Weekly bookkeeping, payroll, and back-office operations for Houston contractors, trades, and practices. Based in Bulverde, serving Houston remotely.
In Houston, the Subcontractors Are Where the Money Leaks.
Houston runs on subcontracted work at a scale most markets don't. That's efficient right up until an insurance auditor asks for a certificate you don't have — and then it's a bill for a policy period that already ended.
Sub spend is a large line, loosely tracked
Payments recorded, certificates collected inconsistently, expiration dates followed by nobody in particular. It works until it's audited.
An uninsured sub becomes your employee
For premium purposes. If a subcontractor can't be documented as carrying their own coverage for the period they worked, those payments can be added to your premium basis as though you'd employed them.
Work crosses state lines
Gulf Coast work doesn't respect borders. Payroll registration and withholding follow where employees actually work, and that catches growing contractors out constantly.
An auditor can only work from what you can produce. Almost every surprise premium traces back to a record that existed somewhere and couldn't be handed over.
We're a bookkeeping and financial operations firm in Bulverde, serving Houston remotely. Not a CPA firm, and not an insurance agency — what we do is records.
Bookkeeping for Houston Construction, Trades, and Practices
The same three industries we have the most depth in at home. What changes in Houston is the shape of the problems, not the work.
Commercial Construction
Commercial and industrial contractors running large subcontractor networks. Job costing by phase, WIP, retainage, committed cost, certified payroll, and subcontractor certificates tracked as the work happens rather than chased at audit. See construction bookkeeping.
Trades & Field Services
Field service and route operations across a very large metro. Service and install margins separated, material tracked to the ticket, and field software reconciled to the ledger. See trades.
Medical & Dental Practices
Practices and groups managing payer timing and provider-level profitability. Production isn't collections and collections aren't cash — we reconcile the difference. See practices.
The Whole Back Office
Any of it individually, or all of it as one outsourced department at a flat monthly price. See your back office.
Your Books Set Your Insurance Premium
General liability and workers' compensation premiums are audited against your actual payroll, subcontractor spend, and cost records. In a subcontractor-heavy market, that audit is where a year of bookkeeping decisions turns into a number you either owe or don't.
Certificates of insurance, collected before the work starts
The expensive failure is almost never a sub without insurance. It's a sub who had insurance while the certificate was never collected, or expired mid-project. We track them through the year, with expiration dates followed.
Records that reconcile to what was filed
When wages on the books don't tie to quarterly filings, the auditor picks a number and it generally won't be the lower one. Same for sub payments that appear at one total in the ledger and another in 1099 records.
And we sit through the audit
We've handled general liability and workers' compensation audits every year we've been in business since 2021, several a year. We assemble the records, produce the certificate file, and answer the auditor's questions. Full detail on insurance audit support.

We're in Bulverde, not Houston. We're not going to imply otherwise, and we'd be skeptical of a firm that did. What we will tell you is that almost nobody leaves their bookkeeper over the drive — they leave because they asked a question and waited four days. More on where we work.
Working With Us From Houston
Are you actually located in Houston?
No — we're based in Bulverde, Texas, and we serve Houston businesses remotely. We're specific about that rather than implying a local office, because that claim is easy to make and easy to see through.
The work itself doesn't change. Weekly coding, monthly close, payroll, and a named team you can reach the same business day.
Are you a CPA firm?
No — we are not a CPA firm. Bulverde Business Solutions is a bookkeeping and financial operations firm. We do not prepare tax returns, render tax opinions, or perform audit, review, attest, or assurance work.
We work alongside your CPA and hand them closed, reconciled, reviewed books at year end, which usually reduces what they charge for cleanup.
How do documents get to you?
Through Canopy — a SOC 2–compliant client portal with encrypted file transfer. No documents move over email. The SOC 2 attestation belongs to Canopy as the platform provider; we are not ourselves SOC 2 audited.
We carry Professional Liability (E&O), Cyber Liability, and General Liability insurance. Worth asking anyone you're considering the same question.
What does it cost?
One flat monthly price, quoted after we've looked at transaction volume, entity count, payroll complexity, and the condition of the current books. No hourly billing, and calls aren't metered.
Can you handle payroll across multiple states?
Yes. Registration and withholding obligations follow where employees actually work, not where your office is — which catches a lot of growing businesses out. More on payroll services.
Our books are behind. Is that a problem?
Common and not disqualifying. Cleanup comes first, quoted separately as one-time work with a defined end. See cleanup bookkeeping.
Do you handle insurance audits for Houston contractors?
Yes. General liability and workers' compensation premium audits, every year we've been in business since 2021, several a year. We assemble and reconcile the records, produce the subcontractor certificate of insurance file, and answer the auditor's questions.
We are not an insurance agency or agent and do not advise on coverage or represent clients in premium disputes. Our part is records. See insurance audit support.
Can you track our subcontractor certificates of insurance?
Yes, and doing it through the year rather than at audit time is the whole point. A certificate collected before the sub starts, with the expiration date tracked and the renewal chased, prevents nearly all of the additional premium we see contractors hit with.
Beyond Bookkeeping. Built for Growth.
Tell us what's actually going on. We'll tell you honestly whether we're the right fit — including whether being a few hours away matters for your situation.
