Bulverde Business Solutions

Privacy Policy

We handle other people's financial records for a living, so we'd rather be plain about what we do with information than hide it in legal language. This explains what we collect, why, who sees it, and what you can ask us to do about it.

Who this covers

This policy applies to Bulverde Business Solutions — "we," "us," "BBS" — and to everyone we deal with: people who visit bulverdebusiness.com, people who contact us or download something from the site, people who apply for a job with us, and the businesses we do bookkeeping, payroll and back-office work for.

We're a Texas company serving clients in Texas and across the United States. This policy is written for U.S. law and isn't intended to address the GDPR or other non-U.S. privacy regimes.

If you're a client, your engagement agreement and any separate confidentiality terms govern how we handle your business's financial data. This policy describes our general practices; where the two ever conflict, your agreement controls.

What we collect

When you visit the site

Standard technical information that almost every website records: IP address, browser and device type, pages viewed, how long you stayed, and the site or search that sent you. We use this in aggregate to understand what's working on the site, not to identify individual visitors.

When you contact us or fill out a form

Whatever you choose to give us — typically your name, email, phone number, company name, and whatever you write in the message. If you download a checklist or resource, we collect the email address you give us for it.

When you apply for a job

Your name, contact details, location, the resume and any documents you attach, and notes we make during the hiring process. There's a section on applicants further down with specifics.

When you're a client

To do the work, we necessarily handle your business's financial information: bank and credit card transactions, invoices and bills, vendor and customer records, payroll data including employee compensation and withholding, tax documents, and the supporting records you send us. Some of this includes personal information about your employees, contractors and customers, which we handle on your behalf and under your instruction.

We don't ask for what we don't need. We don't collect Social Security numbers, government ID numbers or bank credentials through this website — those move through our secure client portal or another channel we set up with you directly, never through a web form or ordinary email.

How we use it

  • To deliver the bookkeeping, payroll, reporting and advisory services you've engaged us for
  • To answer your question, prepare a proposal, or follow up on something you asked about
  • To evaluate job applicants for current and future openings
  • To operate, maintain and improve the website
  • To send information you asked for, and — if you've opted in — occasional emails about our services, guidance or firm news. Every one of those has an unsubscribe link and we honor it. We won't add you to a marketing list just because you sent us a question.
  • To meet our legal, tax and recordkeeping obligations, and to establish or defend legal claims

We don't use client financial data for marketing, and we don't use it to build profiles or products. It's used to do your work.

Cookies and analytics

Our site uses cookies and similar technologies to keep the site working properly and to measure how it's used. We use Google Analytics to understand traffic and behavior in aggregate — which pages people read, where visitors come from, what's performing. Google Analytics sets its own cookies and processes that data under Google's terms.

You can opt out of Google Analytics entirely with Google's browser add-on, and most browsers let you block or delete cookies in their settings. Blocking cookies may affect how parts of the site behave.

Some forms on our site are protected by Google reCAPTCHA to prevent spam and abuse, which is subject to Google's Privacy Policy and Terms of Service.

We don't respond to browser "Do Not Track" signals, because there's no consistent industry standard for what responding would mean.

Who we share it with

We don't sell your information. We've never sold it and we don't intend to. We don't share it with third parties for their own marketing.

We do share information in a few specific situations:

  • Service providers who help us operate. Our accounting and payroll platforms, our secure document portal, our website host, our email provider, and similar vendors. They get access only to what they need to perform their function, and they're obligated to protect it.
  • People you tell us to share with. Most often your CPA or tax preparer, your lender, your insurance auditor, or another advisor. We act on your direction here, not our own.
  • When the law requires it. A subpoena, court order, or other legal obligation.
  • If the business changes hands. If BBS is ever sold, merged or reorganized, information may transfer as part of that, subject to this policy.

Job applicants

When you apply or send us a resume, we collect what you provide — name, contact details, location, work history, attachments — along with any notes we make while considering you.

We use it to evaluate your application, to communicate with you about it, to consider you for other openings, and to meet our recordkeeping obligations. We don't sell applicant information and we don't share it outside the people here involved in hiring and the service providers that run our website and forms.

We keep applicant information for 90 days from the date you send it, then delete it. If you're still interested after that, send it again. You can ask us to delete yours sooner at any time by emailing info@bulverdebusiness.com, and we will.

If we decide to move forward with a background or reference check, we'll tell you separately and get your written authorization first, as the Fair Credit Reporting Act requires.

How we protect it

We use a SOC 2-compliant client portal for exchanging documents rather than email attachments, restrict access to client files to the people working on that account, and use access controls and monitoring on the systems that hold financial data.

Being straight with you: no method of transmission or storage is completely secure, and anyone who promises absolute security is overselling. What we can tell you is that we take it seriously, we don't cut corners on it, and if something ever did go wrong we'd tell you rather than manage it quietly.

Please don't send sensitive information — Social Security numbers, account numbers, login credentials — through ordinary email or a web form. Ask us and we'll send you a secure way to do it.

How long we keep it

  • Client records — for the length of our engagement and afterward as long as professional, tax and legal recordkeeping requirements call for.
  • Job applicants — 90 days, then deleted.
  • Website and contact inquiries — as long as needed to respond and for a reasonable period afterward.
  • Marketing contacts — until you unsubscribe or ask to be removed.

Your choices

Whatever your state's law does or doesn't require of a company our size, you can ask us to:

  • Tell you what personal information we hold about you
  • Correct it if it's wrong
  • Delete it, where we're not required to keep it for legal, tax or professional reasons
  • Stop sending you marketing email — unsubscribe in any message, or just tell us

Email info@bulverdebusiness.com and we'll take care of it. We may need to verify who you are first, particularly for a request about client financial data.

If you're an employee, customer or vendor of one of our clients and your information reached us through them, we handle it on their behalf — so please make your request to them directly and we'll support whatever they need from us.

Children

This site and our services are for businesses and adults. We don't knowingly collect personal information from children under 13. If you believe a child has given us information, email us and we'll delete it.

Changes to this policy

We'll update this page when our practices change, and the date below always reflects the current version. If we make a change that materially affects how we handle information we already hold about you, we'll make a reasonable effort to tell you rather than relying on you to notice.
