What We Actually Expect

Four things matter more here than where you went to school or how many years you've been doing this. Read them honestly before you apply.

The service level is the product

Clients don't stay with us because the entries are correct — they expect that. They stay because nothing falls through and somebody gets back to them. Exceptional service isn't a value on a wall here. It's the thing we're selling.

You're accountable for your own work

When you say something is handled, it's handled. That means knowing what's outstanding without being asked, saying so early when you're behind, and owning a mistake out loud instead of hoping it goes unnoticed. Being organized is how you do this — it isn't the point on its own.

You'll get handed problems, not just tasks

A vendor mess, a payroll issue mid-quarter, books that were abandoned eight months ago. Filing an accurate report about a problem isn't the same as solving it, and we hire people who go after the second one.

You'll specialize first

You'll be pointed at one area and expected to get genuinely good at it before anything else. There's room to learn other parts of the business over time, but we'd rather you be excellent at one thing than passable at four.

What We're Hiring For Right Now

We're growing, so this changes. Every position is in-office at our Bulverde location, which means you'll need to be within reasonable commuting distance. Matt and Emily assign accounts and handle the cash flow and advisory conversations with clients.

Administrative Assistant

Part-time · In-office · Bulverde, TX

You'll keep the operation moving — client communication, chasing the documents we need to close a month, scheduling, organizing files in the portal, and handling the administrative work that otherwise pulls the bookkeeping team off their accounts.

What we're looking for

  • Administrative or client-facing work where people depended on your follow-through
  • Writing a clear, professional email without it needing to be rewritten
  • Keeping several open threads moving without losing one
  • Owning the outcome — you close the loop rather than passing it along
  • General comfort with software — you'll learn our systems quickly

Helpful, not required

  • A bookkeeping, accounting, or professional services office
  • QuickBooks, Microsoft 365, or CRM experience
  • Bilingual English/Spanish

Why this role matters here: half of what frustrates business owners about their previous provider is administrative, not accounting — the unanswered email, the document nobody followed up on. This role is a lot of the reason clients stay.

Including if the answer is no. We tell clients we answer within 24 hours, so leaving an applicant guessing for a month would be strange.

In the Bulverde office. We'll walk through the kind of situations the job actually produces — a client waiting on an answer, three things due the same afternoon — and talk about what you'd do. It isn't a test with a right answer; we want to hear how you think.

Working at Bulverde Business Solutions

Are your positions remote?

No. Everything is in-office at our Bulverde location, so you'll need to be within reasonable commuting distance — Bulverde, Spring Branch, San Antonio, New Braunfels, or Boerne. We serve clients remotely, but the team works together here.

Do I need to be a CPA?

No. BBS is not a CPA firm and does not provide tax preparation or attest services. We do bookkeeping, payroll, AP/AR, reporting, and advisory work. A CPA license isn't required or expected.

Do you hire part-time?

Yes. We'd rather have the right person on a part-time schedule than the wrong one for forty hours a week. Whether a given position is full or part-time is noted on the posting, and specific hours are something we work out on the call.

What software do you use?

QuickBooks Online is the core of our bookkeeping work, alongside a SOC 2-compliant client portal for document exchange and a reporting platform for client dashboards. You'll be trained on our stack — we care more that you can learn software than that you already know ours.

What size businesses are your clients?

Growing small and mid-sized businesses across Texas — construction and trades, medical practices, restaurants, real estate, and professional services, plus remote clients nationwide. Most are past the point where the owner can keep the books themselves.

You don't have a role posted that fits me. Should I still send a resume?

How long has BBS been in business?

Since 2021. BBS was founded in Bulverde by Matt and Emily Starnes and has been BBB Accredited since 2023, with a team carrying more than 20 years of combined experience.
